Escouade Mail · Sending rules

Sending rules that protect your domain.

An outreach email arrives if it leaves from an authenticated domain, at a human pace, towards people who can say stop. Escouade Mail applies these rules for you; here they are, one by one.

Your domain, authenticated

The first message to someone who doesn’t know you always goes from your domain. Mail gives you the records to add at your registrar, checks them, then checks them again every day:

  • proof that the domain is yours;
  • two DKIM signatures;
  • SPF, which authorises our servers to send for you;
  • MX, to receive the replies;
  • DMARC, recommended.

A subdomain is enough

A subdomain of your domain is enough, and public webmail addresses cannot be used as a sending domain. A mailbox opened on our shared domain replies to whoever writes to it; it does not write first.

A gradual ramp-up

A new mailbox does not write at full speed straight away. It ramps up in steps: 5 first messages a day, then 10, 15, and finally 20 a day per mailbox. The monthly volume depends on your size.

Within your window, spaced out

Emails go out within a sending window, by default from 9 am to 6 pm, Monday to Friday, public holidays excluded, adjustable between 6 am and 10 pm. They are spaced at least ten minutes apart, with some randomness.

A reply to a correspondent who wrote to you goes out without waiting for the window.

No duplicates, follow-ups that stop

The same person does not receive two first messages within thirty days. A campaign has one to four steps; a reply stops the follow-ups for the contact, and for their company.

Saying stop, in one click

Every first message carries a one-click unsubscribe link that mail providers recognise. Replying “STOP” works too.

The person is then blocked for your whole workspace, from every one of your mailboxes; only an administrator can lift the block, at their written request. A hard bounce or a complaint also blocks the address.

A circuit breaker before a bad reputation

Over its last hundred emails, a mailbox that bounces too much (more than 5 %, or 3 % during its ramp-up) or receives complaints (more than 0.1 %) stops by itself. You then request a review; no date is promised.

What Mail does not do

  • No bulk sending: a message goes to one recipient.
  • No transactional emails.
  • No blind copy.
  • No delivery guarantee: nobody can promise one.

Stop receiving, report abuse

To stop receiving from a sender who writes with Escouade Mail: the unsubscribe link in their message, or a “STOP” reply. To report abusive sending, write to contact@escouade.io, with the message received and its headers.

The sending log is kept for twelve months, and an offending sender is suspended. Every sender undertakes to prospect professionals only, to identify themselves and to respect unsubscribes.

The terms and conditions

Escouade Mail

Escouade Mail opens mailboxes on your domain, sends your outreach campaigns and follows up in the conversation thread, until someone replies. A reply stops the sequence, and joins the contact’s record.

Questions

Do we need a domain to start?

Not to receive and reply; yes to write first to someone who doesn’t know you.

Can we send at night or at the weekend?

No, except to reply to a correspondent who wrote to you: the sending window applies to first messages and follow-ups.

Why hasn’t a message gone yet?

It is waiting its turn: the mailbox queue, the sending window, the spacing or the daily quota. Mail tells you why a message is waiting.
